Wilderness guide for office fit-outs

Office fit-outs can be frustrating, boring and expensive or exciting fast and comparatively inexpensive,
it’s all about planning ahead and having the best people on your team that will make the difference. I have broken this information into 4 sections. In these small articles I will detail what I have learned over the last Twenty-Five years designing and building offices for a large variety of corporations. 

There are crucial steps that will ensure transitioning to your next workspace be painless, even enjoyable. I will help you miss the trap falls that ensnare the unsuspecting and give you a road map to make your next office a success.

Relocation Summary & checklist !

Section #4 Relocation Summary
When facing the task of relocating office most managers will be filled with a sense of dread. Deservedly so, managed poorly this task can have even the calmest most together corporate general pulling his hair out. This simple checklist aims to assist you in the process of the move and calls up components you may not have considered.

We Highly recommend you have an Interior Architect / Interior Designer design and build your new space and garauntee our services. 

1. The single most important detail when moving office is to develop a relocation plan. Head count employees and reference their location to a drawing, include location numbers for other areas, (stationery, board room meeting rooms etc.). Give your designer a spread sheet (xls, CSV) with staff numbers and names etc. to be incorporated into a location drawing, this will form the basis of your relocation strategy.
2. Attach a removalist sticker to goods that will be going to the new office referencing the location number on the drawing (use removable relocation stickers not tape or adhesive stickers)
3. Prepare an inventory of everything you own, in your business noting any scratches or dents. 2 x columns (1) keep (2) dispose..
4. Sell what is yours and the that you wont be taking with you, offer these chattels to staff first, better to obtain a nominal fee than to pay to send it to the tip
5. Clarify your relocation date with staff and board
6. Check with communications service provider availability of services. And obtain new numbers.
7. .Provide your new address to graphic designer to produce stationery and business cards.
8. Purge storage.
9. Organize secure disposal of sensitive documents.
10. Organise Contents Insurance for your new office starting the date of possession.
11. Notify ASIC, ATO Bank, Credit of your new address. Also any lease agreement for photocopiers / printers etc.
12. Arrange mail redirection to your new address.
13. Redirect or cancel newspaper and other subscriptions.
14. Confirm Estate Agents key collection time final inspection of your existing tenancy. Give approval for make good works to commence for the day after you vacate.
15. Research storage facilities if needed
16. Transfer and set up utilities at your new address for the time of occupation.
17. Review other insurances
18. Arrange packing materials delivery (labels, bubble wrap, markers, paper) with your Removalist or storage company. Better to use plastic reusable tubs they are quicker, cost less and better for the environment.
19. Arrange your removalist to give an in-service on packing.
20. Carry out final inspection of your new tenancy and provide a defects list (if any)
21. Label every plastic tub using the removalists labels as instructed clearly, as to contents and its destination number.
22. Arrange transfer of bank accounts, Internet, telephone, gas, electricity connections.
23. Discontinue any delivery services, newspapers / office plant lease
24. Arrange access and parking for the Removalist\'s truck
25. Provide Removalist with floor plans and new address parking information
26. Back up all computers and ensure backups are taken to a separate secure location.
27. Provide builder keys to old tenancy for make good to commence
28. Book a locksmith to change the keys on moving day at your new office.
29. Arrange final readings of gas and electricity meters
30. Dispose of everything that you don’t need and can’t sell or give away.
31.Inspect make good at old tenancy with landlord
2. Ensure all meters read, key collection organised.
33. Return all keys to the Property Manager or new tenant.
34. Contact Bank regarding bank guarantee for previous lease
